HOWTO: Mass Data Correction with MS Excel 2007

Overview

The Mass Data Correction utility allows users to export the information for all their patients (First Name, Last Name, IDNum, SSNum, DOB, Sex, etc.) to a text file. The exported text file can then be imported into MS Excel in order for corrections to be made on any patient record. Once the corrections are made and the text file is imported back into the imaging application, the modified patient records will be updated en masse.

Exporting a Data Correction File (XrayVision or DCV)

XrayVision: Open XrayVision and select Database > Database Utilities > Mass Data Correction > Export Data Correction File from the main menu. Select a destination folder and filename for the text document to be imported to. Click OK.

DCV: Open Data Manager and select Database Options > Data Correction and Utilities > Advanced Utilities > Mass Data Correction > Export Data Correction File. Choose a folder and filename for the text document, and then click OK.

Importing a Data Correction File into MS Excel 2007

  1. Open Excel, select the Data tab, and choose Get External Data From Text.

  2. Browse to the text file, select it, and click Import.

  3. Ensure that the Delimited radio-button is selected. Click Next.

  4. Ensure the Tab option is checked, change the 'Text qualifier' to {none}, and then click Next.

  5. Select all the columns in 'Data Preview'. To do so, click on the first column to highlight it, scroll all the way to right, then hold down the [Shift] key while clicking on the last column. Ensure all columns will be highlighted in black and then choose Text as the 'Column Data Format'. Click Finish.

  6. Click OK to proceed with the data import.

  8. When all changes are completed, highlight all the columns, and copy them (CTRL+C). Open Notepad and paste the data into it (CTRL+V). Save the text document in Notepad.

Importing corrected data into XrayVision or DCV

XrayVision: Open XrayVision and select Database > Database Utilities > Mass Data Correct > Import Data Correction File from the main menu. Find and select the new text document and click OK. A verification screen will be displayed before the changes are performed on the database.

DCV: Open Data Manager and select Database Options > Data Correction and Utilities > Advanced Utilities > Mass Data Correction > Import Data Correction File, select file and proceed to the verification screen. Find and select the new text document and click OK. A verification screen will be displayed before the changes are performed on the database.
